An executive resume should let a reader inspect the scope of your responsibility, the decisions you made and the evidence behind your results. A large number beside a strong verb is not enough. A budget underspend, a revenue increase and a verified saving describe different things; a project group and direct reports are different responsibilities.
This guide builds a complete original leadership-resume excerpt from a fictional evidence ledger. The candidate, organisation, roles and figures are invented. The excerpt is a practice artifact, not a resume you can submit as your own or an account of KarmSakha's clients. It demonstrates how to make leadership claims precise without inventing authority or impact.
Start with the reader and the role
Harvard's master's-student resume guide recommends an informative summary of relevant experience and tailoring it to the position. That is a narrow, general writing principle from a student-focused guide, not an executive-hiring standard. The ledger and resume below are independently composed; no Harvard sample, template or credential is reproduced.
For this exercise, the target is a fictional operations leadership role concerned with resource planning, reporting accuracy and coordination. There is no actual vacancy or employer's assessment rubric. A real application should use the actual role description and submission instructions.
Before editing, identify which leadership requirements your evidence can support. If the role asks for commercial responsibility, a spend ledger alone does not establish ownership of profit and loss. If it asks for people management, participating in a cross-functional meeting does not establish line-management authority.
Create an evidence ledger before polishing the wording
The fixture supplies the following facts for fictional candidate Dev Rao at fictional organisation Cedar Services. They are the complete evidence available for this practice excerpt.
| Evidence item | Supplied fact |
|---|---|
| Formal role | Operations Lead, 2021–2025 |
| Earlier role | Operations Coordinator, 2019–2021 |
| Reporting responsibility | Four direct reports |
| Project collaboration | Three colleagues outside that reporting line |
| Dev's supplied actions | Recorded period spending, coordinated the review schedule and maintained the quarter case counts |
| Period Q budget | Approved ₹12 lakh; recorded spending ₹11.4 lakh |
| Review schedule | Eight reviews planned; six held; two rescheduled |
| Quarter A records | 100 cases; 80 closed within that quarter |
| Quarter B records | 120 cases; 90 closed within that quarter |
No education, certification, language level, revenue, profit, client satisfaction or independent audit is supplied. Do not add those items because an executive document seems incomplete without them. In a real resume, obtain the actual facts before finalising the relevant sections.
This is a synthetic ledger. It contains neither confidential employer records nor verified candidate achievements. It lets us practise the relationship between an input and a claim.
Distinguish budget control from a saving
The arithmetic difference between approved budget and recorded spending is ₹12 lakh − ₹11.4 lakh = ₹0.6 lakh, or ₹60,000. As a share of the approved budget, that is 5%.
A supported practice statement is “Recorded ₹11.4 lakh spending against a ₹12 lakh approved Period Q budget.” A claim such as “Saved the company ₹60,000” would need more evidence: for example, what work was delivered, whether obligations remain and what baseline defines the saving.
The fixture does not supply those facts. Lower recorded spending could coexist with deferred activity. The guide does not diagnose the reason; it simply refuses to convert a difference into a verified financial benefit.
Likewise, “owned ₹12 lakh profit and loss” would misstate an expenditure budget as commercial responsibility. Keep the monetary unit, period and measure attached to the figure.
Keep people-management scope exact
Dev has four direct reports and collaborates with three other colleagues. That supports a distinction between line management and project coordination. It does not support “managed seven direct reports.”
The groups are separate in this fixture, so there are seven people across them. But adding headcounts does not create reporting authority. In real evidence, also check for overlap before adding groups; a colleague who participates in several projects is still one person.
A clear summary can identify the four-person reporting line while describing coordination with the three colleagues. Do not invent hiring, dismissal, compensation or appraisal authority. Those responsibilities are not supplied by the title alone.
Check an attractive results claim
Quarter B has ten more closed cases than Quarter A: 90 − 80 = 10. The relative difference in the raw closed count is 10 ÷ 80 = 12.5%.
However, the closed share among each quarter's supplied cases is 80 ÷ 100 = 80% in A and 90 ÷ 120 = 75% in B. That is five percentage points lower in B. The case totals, cohort comparability and reasons are not established beyond these records.
Calling this “improved closure performance by 12.5%” would mix a raw count with a performance judgement. The fixture supports reporting the two counts and shares, not a causal improvement attributed to Dev.
An executive resume need not include every available statistic. Here, a bounded statement about maintaining and reporting the case record is safer than an unsupported achievement headline. If an actual result cannot be substantiated, describe the verified work rather than manufacture a percentage.

The following is a fictional practice excerpt. It intentionally excludes unsupplied education and contact details. Its wording is based only on the ledger above.
Dev Rao — fictional operations leadership example
Professional summary
Operations lead with supplied experience in a four-person reporting line, cross-team review coordination and period-budget reporting. Practice profile focuses on distinguishing completed activity from planned work and communicating figures with their scope.
Operations Lead — Cedar Services, 2021–2025
- Held responsibility for four direct reports and coordinated review work with three colleagues outside the reporting line.
- Recorded ₹11.4 lakh spending against the approved ₹12 lakh Period Q budget; the ledger does not establish a verified saving or profit-and-loss responsibility.
- Coordinated eight planned reviews, with six held and two rescheduled; kept completed and deferred activity separate in reporting.
- Maintained quarter case counts showing 80 closures among 100 cases in Quarter A and 90 among 120 in Quarter B, without presenting the raw-count increase as a measured performance improvement.
Operations Coordinator — Cedar Services, 2019–2021
Earlier role supplied in the fixture. Responsibilities and outcomes for this period are not provided, so no achievement bullets are invented.
Evidence available for discussion
The practice ledger supplies role dates, reporting scope, a period budget, review counts and quarter case counts. Education, certifications, commercial outcomes and the causes of the numerical differences remain unspecified.
Inspect the excerpt before treating it as a finished resume
This is a complete learning excerpt, not a ready-to-submit candidate document. Some of its explicit limitations would become evidence-checking notes outside a real resume after actual facts were verified. They are visible here so the reasoning can be inspected.
For a real document, identify the work you personally performed, the relevant outcome and its evidence. Use accurate role titles and dates. Include earlier responsibilities only once you can substantiate them. An application instruction requiring a particular format or length takes precedence over a generic suggestion.
No file export or applicant-tracking-system test was performed for this article. If you create a real PDF or document, inspect its text, headings, order and links after export. A readable template does not guarantee parsing or selection by an employer's system.
Prepare for follow-up questions
A reviewer might ask why the ₹60,000 difference is not called a saving. Explain the missing delivery and baseline evidence. They might ask whether the three project colleagues reported to you. Explain the supplied reporting distinction rather than upgrading coordination to authority.
For the quarter figures, acknowledge that the case denominator changed. A factual explanation is stronger than defending an inflated label. For the review schedule, six of eight is 75% held, but that share does not establish that the reviews improved outcomes or that rescheduling was your decision.
These are practice answers about fictional evidence. In a real interview, use your own records and protect confidential information. Do not disclose a previous employer's internal ledger simply because it makes a resume number easier to explain.
Build the document around claims you can sustain
Retain a private evidence note for each real bullet: the period, measure, your contribution, collaborators and unresolved questions. Publish or share only information you are permitted to disclose. Numbers are useful when they clarify verified scope; they are optional when no defensible measurement exists.
The financial-analysis worksheet explains why expenditure, operating results and cash are different measures. The STAR answer guide practises correcting an overclaim under follow-up questions. An executive resume becomes more useful when its leadership language remains consistent with that same evidence discipline.
